- Prepare program financial statement and post-program analysis
Meeting Facilities
- Schedule conference meeting rooms and other facilities to accommodate program needs
- Arrange general-session and break-out meeting rooms
- Arrange room or facility set-ups and resets
Registration Services
- Register program participants
- Record information in computer database
- Collect registration fees and prepare receipts
- Prepare name tags
- Check-in participants upon arrival
- Provide a final registration list of participants
Food Service
- Develop a food service package -- breakfast, lunch, dinner and/or receptions
- Arrange all catered functions, i.e. coffee breaks, receptions, cook-outs, box lunches, and special dining facilities.
Marketing/Promotional Services
- Assist with the identification of potential target markets
- Assist with the development, proof reading, and printing of program promotional material
- Prepare and distribute press releases
- Obtain mailing lists that reach target market(s)
- Prepare mailing of conference promotional material
- Design and place advertising
Program Materials
- Produce rosters, name tags, table tents, evaluation instruments, signage, certificates, etc.
- Assist with the development, preparation, and assembly of general information and instructional materials
Program Support Services
- Remain on-site during the program
- Provide or arrange for fax, photocopying, special phone service, mailing and shipping services and electronic mail
Audiovisual Equipment
- Reserve, deliver and set up standard audiovisual equipment
- Arrange for video and audio taping of program sessions
